Privacy Policy

Propozo is a proposal-writing tool for tradespeople. This policy explains what we collect, what we deliberately never collect, and what happens to the information you put into the app.
Who we are
Propozo is operated by Nicolas Chelico, based in Ontario, Canada. For any privacy question, correction, or deletion request, contact support@propozo.ca.
Your voice never leaves your phone
When you describe a job out loud, the speech is turned into text entirely on your device. The audio is analysed as it is captured and then discarded. It is never written to storage on your phone, never uploaded to us, and never sent to anyone else. There is no recording to request, because none is ever kept.
What leaves your phone is the resulting text, and only when you ask for a proposal to be written.
What we collect
- Account details — your name and email address, from whichever sign-in method you use.
- Business details — your business name, address, trade, and logo, so they can appear on the proposals you send.
- Your rate card — your hourly labour rate, call-out minimum, material markup, and tax rate. These are used to price proposals and nothing else.
- Job descriptions — the text of what you dictated or typed.
- Proposals — the line items, prices, notes, and any PDF you sent to a client.
- Past proposals you upload — the PDFs and photos you add so Propozo can learn how you write and price. These are your own documents, and they usually carry your clients’ names, addresses, and prices.
- Subscription status — whether you have an active subscription or trial, when it renews or ends, and which plan it is. Not your card details, which only ever reach Apple.
How we collect it
- You type it or say it. Anything you enter in the app, and anything you dictate — turned into text on your phone, as described above.
- You upload it. The past proposals and the logo you choose from your files or photo library.
- From your sign-in. Your email address, and your name when Apple or Google provides it.
- From Apple, through RevenueCat. Your subscription status after you subscribe, so the app knows what you are entitled to.
- As you type an address. Address suggestions come from Apple’s Maps service, which means the partial address you are typing is sent to Apple to return suggestions. We do not receive your location, and the app never asks for it.
How Propozo uses AI
Propozo uses Claude, an AI model made by Anthropic, in the United States, to write proposals and to read the past proposals you upload. This is a transfer of personal information outside Canada, and we are telling you plainly because you are entitled to know.
We send Anthropic:
- Your job description — the text of what you dictated or typed, including your client’s name, address, and any details you mention, because they appear on the proposal.
- Your rates, trade, and business name, so the proposal is priced from your figures rather than invented ones.
- Past proposals you upload, in full. The whole file is sent to be read, including the client details and prices printed on it.
- Templates you start a proposal from, and a short summary of your writing style distilled from the documents above.
Your voice is never sent. Neither is your email address, your logo, or anything about your subscription.
We ask first
Nothing goes to Anthropic until you have seen what is sent, who receives it, and have agreed — in the app, the first time you upload a past proposal or ask for a proposal to be written. If you decline, nothing is sent, and the rest of the app keeps working: proposals you already have can still be edited, sent, and tracked.
You can change your mind at any time under Profile → AI data sharing. Withdrawing stops anything further being sent. It cannot recall what was already processed, and it does not delete what you have already made — your proposals, templates, and uploads stay where they are, in Canada.
What Anthropic may do with it
Anthropic handles this information as our service provider, under commercial terms that hold it to protections equivalent to those in this policy. It is used only to produce what you asked for. Specifically, Anthropic:
- does not use it to train its models;
- keeps it for 30 days and then deletes it, during which it may be accessed by Anthropic for safety and security purposes;
- is bound by confidentiality and security obligations, and may not use it for its own purposes or share it onward.
How we use your information
- Your job descriptions, rates, business details, and uploads — to write, price, and format your proposals, and nothing else.
- Your account details — to sign you in and to reach you about your account.
- Your proposals and clients — to show them back to you and to produce the PDF you send.
- Your subscription status — to know what your account is entitled to.
There is no other purpose. We do not profile you, score you, or use your information to build anything that is sold to someone else.
Where your information is stored
Everything else is stored in Canada, in Google Firebase data centres in Montreal (northamerica-northeast1). This includes your account, business details, rate card, proposals, and any files you upload.
Information about your clients
When you enter a client’s name or address, you are giving us information about someone else. We store it only so it can appear on the proposal you are writing, and we do not use it for anything else, ever.
You are responsible for having collected that information properly in the course of your work. If one of your clients asks what you hold about them, that request is yours to answer — but we will help you retrieve or remove it.
What we do not do
- We do not sell your information, or your clients’.
- We do not use it for advertising, and we do not share it with advertisers.
- We do not track you across other apps or websites.
- This website uses no analytics and sets no cookies.
How long we keep it
Your information is kept while your account exists. Delete your account and it is removed immediately — see below.
Deleting your account
You can delete your account from inside the app, under Profile → Delete account. This permanently removes your proposals and their PDFs, your business details, logo, rate card, anything you uploaded, and your sign-in. It cannot be undone, and there is no recovery period.
Proposals you have already sent to a client stay with that client. We have no way to retrieve a document from someone’s inbox.
Your rights
Under Canadian privacy law (PIPEDA) you may ask what personal information we hold about you, ask us to correct it, and ask us to delete it. Write to support@propozo.ca and we will respond within 30 days.
Who else handles your information
Each of these handles your information on our behalf, for the purpose named and no other. None of them may sell it or use it for their own ends.
- Google (Firebase) — sign-in, database, and file storage, in Canada.
- Anthropic — writes proposals and reads the documents you upload, in the United States. See How Propozo uses AI above.
- RevenueCat — manages subscriptions. It receives your purchase and its status, identified by your account’s ID rather than your name or email.
- Apple — takes the payment for any subscription, and provides the address suggestions shown while you type. We never see your card details.
Children
Propozo is a tool for working tradespeople and is not directed at anyone under 16. We do not knowingly collect information from children.
Changes to this policy
If this policy changes in a way that affects you, we will say so in the app before the change takes effect. The date at the top always reflects the current version.
If what we send to an AI service changes, or who receives it changes, the app will ask your permission again rather than relying on the answer you gave to a different question.
